Agropur is looking for an Administrative Assistant.

 

Job Summary:

The Administrative Assistant position is responsible for answering inquiries and obtaining information for the general public, customers, visitors and other interested parties. Administering the accounts payable and purchasing processes, and performing data entry.

 

Essential Duties and Responsibilities:

Accounts Payable

  • Enter all accounts payable invoices into Oracle.
  • Enter all information into the accounts payable spreadsheet.
  • Make copies of all accounts payable invoices and send to the corporate office to be paid.
  • File and maintain all accounts payable copies.

Reception:

  • Operate the telephone switchboard to answer, screen and forward calls, provide information, take messages, and schedule appointments.
  • Greet persons entering the establishment, determine the nature and purpose of visit and direct or escort them to specific destinations.
  • Distribute all mail and UPS packages.
  • Keep visitor registration up to date.

Spreadsheet Data Entry

  • Maintain the cheese under grade report.
  • Enter and maintain the accrued use tax spreadsheet. 
  • Order and record all employee shoe purchases.
  • Record and prepare all cheese purchases and donations
  • Assist the Accounting Assistant with the GL Account Detail spreadsheet at month end.
  • Maintain the Utilities Analysis worksheet.
  • Enter and maintain the accrued use tax spreadsheet.

 

Secondary Functions include the following:

  • Maintain the TetraPak requisitions.
  • Assist the Accounting Assistant with milk tickets.
  • Order Office Supplies.
  • Cheese donations
  • Registrations for training and events as well travel reservations.
  • Perform other duties as assigned.

TechnicalCompetencies:

  • Microsoft Office
  • High level of proficiency with Excel and Word
  • Ability to use a variety of office equipment.
  • Knowledge of Accounts Payable is preferred.

 

 Qualifications:

  • High school diploma or GED degree.
  • Associates degree is desirable.
  • 1-2 years of  office experience is desireable

 

Non-technical Competencies:

  • Accuracy, attention to detail, and strong organizational skills
  • Ability to work independently or with little direction, and prioritize work and meet deadlines.
  • High level of professionalism and communication skills including written and oral communication.
  • Ability to work as a team with multiple people and department.
  • Be proficient in reading, writing and speaking English.
